Cloud & Collaboration
Files should be easy to find and straightforward to share with the right people. Nexxiv helps businesses organise cloud collaboration around their teams, responsibilities and everyday work. Microsoft Teams, SharePoint and OneDrive become parts of a coherent environment, with clear rules for access and ownership.
When it matters
Make the technology easier to manage.
Cloud storage becomes confusing when everyone creates their own structure. Multiple copies circulate by email, staff cannot tell which version is current and important records depend on one person’s account. Moving more data into the cloud will not resolve those issues without decisions about where it belongs and how it will be used.
What Nexxiv does
Practical work. Clear responsibilities.
A useful information structure
Review the teams, projects and document types the business uses. Create sensible sites, libraries and naming conventions that staff can understand without navigating a complicated folder hierarchy.
Appropriate sharing and access
Establish permissions based on responsibility. Review external sharing, guest access and sensitive information so collaboration does not depend on making every folder available to everyone.
Teams that reflect the work
Plan teams and channels around ongoing activity. Explain how conversations, meetings and shared files fit together, with ownership for each workspace and a process for closing inactive areas.
A planned move from existing storage
Assess current file locations and identify duplication, obsolete material and access requirements. Plan data movement and checks, then help staff adopt the new structure with practical guidance.
Maintainable administration
Document ownership and key settings. Include staff changes, external access reviews and backup or retention requirements in ongoing administration so the environment stays organised after launch.
The outcome
What good implementation looks like.
A useful collaboration environment has a clear home for business records. Staff understand when to use personal working storage and when a shared business location is appropriate. Access follows job responsibilities, and information remains manageable when people change roles or leave. Adoption matters as much as configuration, so the handover explains actual work tasks.
Common questions
Before you get started.
Should all our files go into OneDrive?
Not automatically. OneDrive can suit an individual’s working files, while shared business documents often need a team-owned location such as SharePoint. The structure should reflect ownership and access needs.
Can we keep working during a migration?
A migration plan identifies when data will move, how final changes will be captured and any periods of restricted access. The approach depends on data volume, connection speed and current systems.
Will cloud storage replace our backup?
Synchronisation and collaboration features have a different purpose from a recovery plan. Retention and backup decisions should reflect what the business needs to recover, how far back and how quickly.
